Privacy at a Glance
- We collect your name, email, and scheduling preferences to run the platform.
- We do not sell your personal information to anyone.
- We share data only with the service providers needed to operate MatchedU (hosting, email delivery, authentication).
- You control what contact information other coaches can see.
- You can request deletion of your account and data at any time.
1. Who We Are
MatchedU is a scheduling platform for college basketball programs. It is operated by MatchedU, Inc., a Delaware corporation. When this policy says "MatchedU," "we," "us," or "our," it refers to MatchedU, Inc.
This Privacy Policy describes how we collect, use, and protect your information when you use our website at app.matched-u.com and related services (together, the "Platform"). The Platform is intended for use within the United States by college athletics professionals.
2. Information We Collect
Information You Provide
- Account information: When you create an account, we collect your full name, email address, and (if you sign up with email/password) your password. If you sign in with Google or Microsoft, we receive your name, email address, and profile photo from that provider.
- Profile details: You may optionally add a phone number, job title, alternate contact information, and notification preferences.
- Scheduling contact information: If you set up a scheduling contact for your team, we store the contact name, email, phone number, title, and meeting link you provide.
- Game requests and negotiations: When you create or respond to game requests, we store the details you enter, including dates, locations, guarantee amounts, notes, and any counter-offers or messages exchanged with other teams.
- Invitation codes: When you request access to the platform, we collect your name, email, school, sport, and role title.
Information We Collect Automatically
- Usage analytics: We record how you interact with the Platform, including pages viewed, features used, and actions taken (such as creating a game request or running a schedule optimization). Each page visit generates a random session identifier that is not linked to your browsing activity outside MatchedU. We use this data to understand which features are valuable and to improve the Platform.
- Login timestamps: We record the date and time of your last login to determine whether your team's account is active.
- Device information: Your browser type, operating system, and screen size may be logged by our hosting provider as part of standard web server logs.
Information from Public Sources
- Coaching staff directories: We collect names, titles, email addresses, phone numbers, and bio page links from publicly available athletics department staff directories on university websites. This information is used to pre-populate scheduling contacts for teams that have not yet joined MatchedU, so that game request notifications reach the right person. If your information was collected this way and you would like it removed, contact us at the address below.
- Team schedules and statistics: We retrieve publicly available team schedules, game results, and conference standings from third-party sports data sources. This data does not include personal information.
- NET rankings: We use publicly available NCAA NET ranking data for schedule analysis features.
3. How We Use Your Information
We use the information we collect to:
- Provide the Platform: Create and maintain your account, display your team profile, and enable game request posting, wall browsing, negotiations, and messaging between teams.
- Facilitate scheduling communication: Show your scheduling contact information to other coaches (subject to the visibility settings you choose) and deliver game request notifications.
- Send notifications: Deliver email digests about new game requests posted to your wall, updates on negotiations, and other platform activity, based on the notification preferences you set.
- Send outreach emails: For teams that have not yet joined the Platform, we may send periodic email digests to publicly listed athletics department contacts to inform them of game requests posted to their school's wall.
- Provide AI-powered analysis: When you use the schedule optimization feature, we send your team's schedule data and simulation results to a third-party AI service to generate a plain-language explanation of the results.
- Improve the Platform: Analyze usage patterns in aggregate to understand which features are most useful, identify bugs, and guide product development.
- Maintain security: Detect and prevent unauthorized access, abuse, or fraud.
- Comply with legal obligations: Respond to lawful requests from government authorities.
4. How We Share Your Information
With Other Users
MatchedU is a platform for coaches to find and schedule games with each other. Certain information is visible to other authenticated users by design:
- Your name and team affiliation are visible to other users.
- Your scheduling contact information (email, phone) is visible to other users only according to the visibility settings you choose in your profile. You can restrict contact info to matched teams only, show it to all users, or hide it entirely.
- Game request details you post are visible to the teams you select as recipients.
- Negotiation messages are visible only to the two teams involved in that negotiation.
With Service Providers
We share information with third-party companies that help us operate the Platform. These providers are authorized to use your information only as necessary to provide services to us. See Section 5 for details on each provider.
We Do Not Sell Your Information
We do not sell, rent, or trade your personal information to third parties for their marketing purposes.
Legal and Safety Reasons
We may disclose your information if required by law, court order, or government request, or if we believe disclosure is reasonably necessary to protect the rights, property, or safety of MatchedU, our users, or the public.
Business Transfers
If MatchedU is acquired by or merged with another company, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

6. Cookies and Local Storage
MatchedU uses browser storage technologies to keep you logged in and remember your preferences. We do not use third-party advertising or tracking cookies.

We do not serve third-party advertising on the Platform and do not use cookies for ad targeting or cross-site tracking.
7. Email Communications
Types of Emails We Send
- Transactional emails: Account confirmations, invitation codes, and direct responses to actions you take on the Platform (such as a game request acceptance).
- Notification digests: Periodic summaries of new game requests posted to your wall, negotiation updates, and new messages. You control the frequency of these emails in your notification preferences.
- Outreach emails: For teams not yet on the Platform, we send periodic digests to publicly listed athletics department contacts informing them of game requests posted to their school. These emails always include an option to unsubscribe.
Email Open Tracking
Our outreach emails may include a small transparent image (a "tracking pixel") that lets us know whether an email was opened. This helps us understand whether our outreach is reaching the right contacts and avoid sending emails to inactive addresses. The tracking pixel records the approximate time the email was opened and the email client used. We apply automated filtering to distinguish between actual opens and automated pre-fetches by email security scanners.
Opting Out
Every outreach and notification email includes an unsubscribe link. You can also manage your email preferences at any time through the link provided in any MatchedU email. If you unsubscribe, we will stop sending you that category of email. Transactional emails directly related to your account activity cannot be opted out of while your account is active.
8. Data Retention
We retain your information for as long as your account is active or as needed to provide you with the Platform. Specifically:
- Account and profile data: Retained while your account exists. If you request deletion, we will remove your personal information within 30 days, except where retention is required by law.
- Game requests and negotiations: Retained for the life of your account plus up to 1 year after deletion, to allow the other party in a negotiation to retain their records.
- Usage analytics: Retained in identifiable form for up to 2 years, after which it is aggregated or deleted.
- Email outreach logs: Retained for up to 2 years to track delivery and prevent duplicate sends.
- Scraped coaching staff data: Updated periodically. Outdated records are overwritten when new data is collected.
9. Your Rights and Choices
Depending on where you live, you may have certain rights regarding your personal information. Regardless of your location, we offer all MatchedU users the following:
- Access: You can request a copy of the personal information we hold about you.
- Correction: You can update your profile information at any time through the Platform, or contact us to correct other information.
- Deletion: You can request that we delete your account and personal information. We will process deletion requests within 30 days.
- Data portability: You can request a copy of your data in a commonly used, machine-readable format (such as CSV or JSON).
- Opt out of emails: You can unsubscribe from notification and outreach emails at any time using the links in those emails.
- Contact visibility: You control whether your email address and phone number are visible to other users, visible only to matched teams, or hidden entirely.
- Scraped data removal: If your contact information was collected from a public university athletics directory and you would like it removed, contact us and we will remove it promptly.
To exercise any of these rights, email us at support@matched-u.com. We will respond within 30 days. We will not discriminate against you for exercising your rights.
10. Security
We take reasonable measures to protect your information, including:
- All data is transmitted over encrypted connections (HTTPS/TLS).
- Data at rest is encrypted by our database provider.
- Database access is controlled by row-level security policies that restrict each user to their own team's data.
- We do not store passwords directly. If you sign in with email and password, your password is hashed by our authentication provider. If you sign in with Google or Microsoft, no password is stored by MatchedU.
- API keys and secrets are stored in encrypted environment variables, not in source code.
- Access to production systems is limited to authorized personnel.
No method of transmission or storage is perfectly secure. If you believe your account has been compromised, please contact us immediately.
11. Children's Privacy
MatchedU is designed for college athletics professionals. You must be at least 18 years old to create an account or use the Platform. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected information from a person under 18, we will delete it promptly. If you believe someone under 18 has provided us with personal information, please contact us at support@matched-u.com.
12. Do Not Track Signals
Some browsers send a "Do Not Track" (DNT) signal with web requests. There is no industry standard for how websites should respond to DNT signals. MatchedU does not currently alter its data collection practices in response to DNT signals. We do not engage in cross-site tracking and do not serve third-party advertisements.
13. Educational Records
MatchedU is a scheduling tool for athletics department staff. The Platform does not collect, store, or process student education records as defined by the Family Educational Rights and Privacy Act (FERPA). All data on the Platform relates to coaching staff, team schedules, and game logistics.
14. State-Specific Privacy Rights
Residents of certain states have additional rights under state privacy laws. This section provides supplemental disclosures for those residents.
California Residents (CCPA/CPRA)
If you are a California resident, you have the right to:
- Know what personal information we collect, use, and disclose about you.
- Request deletion of your personal information.
- Opt out of the "sale" or "sharing" of your personal information. We do not sell or share your personal information as those terms are defined under the CCPA.
- Not be discriminated against for exercising your privacy rights.

Texas Residents (TDPSA)
If you are a Texas resident, you have the right to access, correct, delete, and obtain a portable copy of your personal data. You also have the right to opt out of the processing of your personal data for targeted advertising (which we do not engage in) and the sale of your personal data (which we do not do). Other State Residents
Residents of Virginia, Colorado, Connecticut, and other states with comprehensive privacy laws have similar rights to access, correct, delete, and port their data, as well as to opt out of targeted advertising and data sales. We honor these rights for all users regardless of location. Contact us at support@matched-u.com to exercise your rights.
15. International Users
The Platform is designed for use within the United States by NCAA athletics professionals. All data is stored and processed in the United States. If you access the Platform from outside the United States, you understand and consent to the transfer of your information to the United States, where data protection laws may differ from those in your jurisdiction.
16. Changes to This Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date at the top of this page. If we make material changes, we will notify you by email or through a prominent notice on the Platform before the changes take effect. Your continued use of the Platform after the updated policy takes effect constitutes acceptance of the changes.
